Full Job Description

As a Site Administrator, you will provide support to the Commercial Manager and Project Manager to ensure all administrative tasks are completed in a timely manner with attention to detail. Key duties and responsibilities of the role will include but are not limited to:

  • Document Control, review and upload all documents providing updates when required.


  • Process completed job sheets accurately, ensuring the relevant data is inputted correctly.


  • Liaising with all levels of staff from management to site personnel in an efficient manner.


  • Effective communication to ensure clients are informed of the status of work requests and act expediently.


  • Liaising with business unit staff, KAEFER purchasing department with processing site material requisitions.


  • Obtain quotations when requested.


  • Create checklist files for all projects, files would be produced accurately and efficiently in accordance with company procedures.


  • Updating and maintaining electronic files and documents.


  • Responding for dealing with email enquiries from suppliers and accounts department in relation to invoice queries.


  • Maintaining holiday trackers.


  • Liaising with Contract Managers and Site Managers on a regular basis regarding material requisitions and other day to day queries.


  • Liaison with the Training Coordinator to book internal and external training where required.


  • Assisting with onboarding and updating site Training and Competencies Matrix and records.


  • Responsible for updating Waste Register.


  • Responsible for ordering office stationery supplies.

    The ideal candidate for the role will have excellent attention to detail and ability to work to tight timescales. They will have the ability to demonstrate effective prioritisation, time-management and workload planning skills.


  • Essential:

    > An effective communicator, both written and spoken

    > Good knowledge of training processes and principles

    > Excellent knowledge of MS Office including, Excel, PowerPoint, Word and Database

    > Experience in a training or learning environment

    Desirable:

    > Business and Administration NVQ
