Full Job Description

The Despatch Administrator role is tasked with ensuring that our customer orders are fulfilled and despatched on time in full (OTIF).

With a global portfolio of customers, you will be despatching orders within the UK, Europe, USA and ROW. This will be a mixture of road, sea and air freight.,

  • Accountable for achieving daily Despatch Schedules and raising despatch paperwork.

  • Notifying the Warehouse Team Leader when new orders land and issuing picking lists/packing information.

  • Keeping on top of the progress of customer Sales Orders to ensure packing, shipment and paperwork is arranged to ensure on time delivery in full.

  • Preparing accurate and compliant shipping and export documentation.

  • Obtaining and filing Proofs of Export for all jobs that have zero-rated invoices and updating the WIP Spreadsheet, escalating in line with company procedures when Proofs of Export are not received in a timely manner.

  • Despatching goods from the CRM/ERP system when they are ready for shipment or customer collection, for Finance to invoice.

  • Negotiating with suppliers on price and lead time to achieve customer requirements and best commercial outcomes for the company.

  • Raising of accurate and to specification Works Order, Purchase Orders & Subcontract Purchase Orders.

  • Progressing of Works Orders, Purchase Orders & Subcontract Purchase Orders, interacting with and chasing suppliers over the phone & email.

  • Maintaining the CRM/ERP System and WIP Spreadsheets with accurate Sales Order, Purchase Order and Subcontract Purchase Order delivery dates.

  • Investigating and completing despatch administration related NCR's in a timely manner.

  • Assisting and covering Sales Order processing during periods of holiday and/or high workload.

  • Assisting and covering in the Warehouse with order picking/packing and container loading during periods of holiday and/or high workload.

  • Assisting and covering material (goods inwards) inspection, the booking in of goods into the ERP system, issuing of Works Orders and data plates, and the completion of related forms, during periods of holiday and/or high workload.

    The role requires a proactive individual, with a can-do attitude, who is excellent at communicating internally and to customers on order progress and despatch information.


  • Attention to detail is essential within this role as the goods, shipping documentation and purchase orders, need to reflect the exact requirements of the customer and of the business.

    Person Requirements:
  • The ability to understand customer and company requirements, follow instructions and company processes and procedures.

  • Accountable and responsible for own work tasks and for the accuracy and completeness of administration tasks and supporting documentation.

  • A confident planner who uses a methodical approach to achieve deadlines and meet despatch schedules.

  • Comfortable to review and re-prioritise workflow to meet new orders landing, which may have more urgent despatch dates.

  • Excellent attention to detail and data accuracy.

  • A strong communicator, able to politely and professionally share key information internally as well as to customers and other interested parties such as freight forwarders etc.

  • Must be able to work as part of a team in a fast-paced environment.

  • Confident on the phone, with a polite and professional telephone manner., Despatch & Export: 2 years (preferred)

    Salary: £25,000 - £28,000 Dependent on Experience.

    Working Hours: Monday to Thursday 08:30 to 17:30. Friday 08:30 to 16:00 (total of 40 hours per week).

    Holiday: 20 days plus the Christmas Shutdown period and UK Bank Holidays.
